Data deletion

You can have your data deleted from Ezro. This page explains how, whether you are a business that uses Ezro or someone who sent a message to one, and what happens next.

If you are a business that uses Ezro

The way to delete your workspace and its data is to ask us by email. Write to privacy@ezro.app from the address on your account, with the subject “Data deletion request” and the name of your workspace. We may reply to check that the request really comes from someone who can make it. Once we have confirmed it, we complete the deletion within 30 days and confirm to you by email.

If you only want to remove a particular channel, or a particular person’s data, say so in your request and we will do just that.

If you wrote to a business that uses Ezro

When you message a business, the business decides what happens to what you wrote, and Ezro handles it for them as its processor. You have two options:

  • Ask the business. This is usually the quickest route. Tell them you want your messages and details deleted.
  • Write to us. Email privacy@ezro.app with the subject “Data deletion request”. Tell us which business you wrote to and how: the email address, Instagram or Facebook name, or phone number you used. We will pass your request on to the business within 7 days, and tell you when we have. We will then tell you what the business decided. If the business instructs us to delete your data, we do so within 30 days of that instruction and confirm to you by email once it is done.

If you are logged in to Facebook or Instagram and removed Ezro from your connected apps, that stops Ezro from receiving anything further from your profile through that app. It does not by itself delete messages already held by a business; use one of the options above for that.

What we delete, and how fast

Once we have verified a request from a business, or the business has instructed us to delete someone’s data, we delete the data it covers within 30 days. The same applies to data we hold as the controller (for example, account details). Depending on the request, that includes:

  • conversations, messages and attachments received through connected channels, and Ezro’s replies;
  • records of what Ezro did and why for those conversations;
  • information Ezro read from connected systems and kept as part of those records;
  • knowledge, procedures and guidance, for a workspace that is closing;
  • account details and sign-in details of the people on a team; and
  • the connection credentials that let Ezro reach a channel or a system.

What we may keep, and why

We may keep a limited amount of data after a deletion request, only where we have to or have a legitimate need:

  • billing, invoicing and tax records, which the law requires us to keep for a set number of years;
  • records we need to meet a legal obligation, resolve a dispute, or defend or bring a legal claim;
  • a minimal note that a request was made and carried out, so that we can show we did it; and
  • copies in backups, which are overwritten in the ordinary cycle of those backups and are not used for anything else in the meantime.

When we keep something, we keep only what is needed and we say so in our confirmation.

Disconnecting a Facebook Page, Instagram account or WhatsApp number

You can disconnect a channel at any time without closing your workspace.

  1. In Ezro, open the channel in your workspace settings and disconnect it. Ezro stops receiving messages from that Page, Instagram account or WhatsApp number straight away, and deletes the access credentials we held for it.
  2. In Meta, you can also remove Ezro from your side. In Meta Business Settings, open the integrations or connected apps list, find Ezro, and remove it. For a personal Facebook or Instagram profile, remove Ezro under the apps and websites you have connected in your account settings.

Disconnecting a channel does not delete the conversations already received through it. To delete those, make a deletion request as described above.

Confirmation

When the deletion is done, we send a confirmation by email to the address that made the request, saying what was deleted, what we kept and why, and when. If we cannot complete a request, for example because we cannot verify who is asking, we will tell you why and what you can do.
